Contact details (name, e-mail, phone) of clients, villa contacts, staff and people who report a fault; addresses and access notes of the properties we maintain; maintenance requests, work orders, photos, client signatures and messages; for staff, time logged on jobs; and technical records such as sign-in and security logs.
To provide the maintenance services agreed with our clients (performance of a contract), to answer requests and faults reported to us, to plan and document our work, to meet legal obligations such as invoicing and record keeping, and to keep the system secure (legitimate interest).
Only our staff who need it for their work, and service providers that host the system or deliver e-mails on our behalf under a data processing agreement. We do not sell your data or use it for advertising.
For as long as we provide services to you and afterwards for the periods required by law (for example, accounting records). Data no longer needed is deleted or anonymised.
Access is restricted by role, passwords are stored hashed, access codes and device credentials are encrypted and every view of them is logged, and connections are encrypted.
You may ask to access, correct or erase your data, to restrict or object to its processing, and to receive it in a portable format. Users can download their data from their profile. You may also complain to your data protection authority (in Portugal, the CNPD).
